Overview

Worker’s Justice Project (WJP) (workersjustice.org) was founded in 2010 to address the racial and economic injustices that low-wage immigrant workers face in New York City by building collective power to win institutional change. WJP runs two long-standing worker’s centers in Brooklyn. We promote justice and opportunity for low-wage immigrant workers in New York City by pushing for systematic enforcement and expansion of workplace protections, which include labor and occupational health and safety standards while advocating for industry-specific efforts to improve working conditions. WJP also offers skills-building training to workers in health & safety and industry-specific areas, and we educate immigrant communities about their rights in the workplace and how to exercise those rights.

 

WJP is a fiscally sponsored project of TSNE (www.tsne.org).

 

Responsibilities

The Grants and Finance Manager plays a key role within WJP’s Finance and Operations team. The Manager is responsible for day-to-day budgeting and finance tasks, including preparing and updating foundation and government grant budgets, tracking and coding expenses, coordination of vendor contracts and invoices, and assisting the Finance and Operations Director with WJP’s overall fiscal management. This role will collaborate with WJP staff and the TSNE finance team to ensure smooth and timely vendor payment, grant processing, grant reporting, expense reporting and tracking and compliance with funder requirements and applicable laws. The Finance and Grants Manager reports to the Finance and Operations Director.

 

Essential Functions

Vendor and Contractor Management

  • Maintain a comprehensive tracking system for WJP’s vendors and contractors.
  • Ensure vendor contracts are up to date and registered/renewed in a timely manner.
  • Coordinate with vendors to ensure timely invoice submission and track all submitted invoices.
  • Review vendor invoices making sure they follow invoicing terms and are ready for the Finance and Operations Director to submit and approve, including the appropriate allocation of those expenses to various funding sources and programs.
  • Coordinate and collaborate with TSNE contracts team as needed about new contracts requests and amendments, and work with TSNE FS accountant on inquiries related to vendor payments.
  • Coordinate with WJP staff to determine which vendors are being used and ensure their contracts appropriately reflect the work and services needed.

Grant Management and Reporting

  • Under the supervision of the Finance and Operations Director, develop budgets and scopes of work for WJP’s city, state and federal government funding contracts, in collaboration with appropriate WJP and TSNE staff.
  • Collaborate with WJP staff to identify and manage vendors and subcontractors on WJP’s government grants and revenue contracts, including executing subcontractor agreements and managing subcontractor invoicing and reporting.
  • Complete forms and paperwork related to government funding contracts, including budgets, scopes of work, and subcontractor agreements, and prepare them for submission to government funders.
  • Assist the Finance and Operations Director and TSNE fiscal sponsorship staff with government grant invoicing, as needed.

 

Grant Management and Reporting

  • Assist the Finance and Operations Director in the preparation of the organization’s budget, including allocations at program and funding source levels.
  • Review and research transactions and variances in monthly reports, creating financial scenarios, projections as requested by Finance and Operations Director.
  • Help prepare budget revisions for NYC contracts in close collaboration with Finance and Operations Director.
  • Monitor accounts receivable and communicate with entities accordingly.
  • Review and prepare monthly expense reports ensuring proper allowable and allocable costs are charged to various funding sources. Submit expense reports in TSNE Concur system.
  • Conduct monthly credit card expense reconciliations.
  • Help maintain accurate records of expenditures for audit purposes.
  • Run ledger reports, review transactions posted and request changes to coding as needed.

Qualifications

We will consider exceptional candidates who demonstrate a strong combination of the specific qualifications and skills described below.

  • At least 3+ years of relevant work experience in the nonprofit sector, including:
    • Experience creating budgets and managing financial reporting;
    • Experience with NYC government funding contract and foundation grant fiscal management;
    • Experience with vendor and contractor management;
    • Experience monitoring and coding expense reports;
    • AP experience, a plus;
  • Familiarity and experience with GAAP.
  • Experience with contracts management, administration and office management.
  • Strong analytical and organizational skills, with demonstrated ability to manage complexity and prioritize tasks.
  • Excellent communications skills and comfort conveying financial concepts in writing.
  • Ability to work under pressure, handle multiple assignments, prioritize workflow, adapt to fluctuating workload, and meet deadlines.
  • Commitment to ensuring that private information is kept confidential.
  • Excellent computer skills, with proficiency with Excel, Word, Microsoft Office Suite, etc.
  • Strong organizational skills, time management skills and attention to detail.
  • Experience working in a multicultural and multi-ethnic work environment.
  • Bilingual English/Spanish strongly preferred.
  • Dedication and ability to work a flexible schedule including early mornings, evenings, and/or weekends as needed.
  • Commitment to social justice with interest in movement building centered on workers’ rights and immigrants’ rights.

Compensation and Benefits

 

Location: Work can primarily be performed remotely, with occasional in-person work as needed at WJP’s Sunset Park and/or Williamsburg Worker Centers. Work is not eligible to be 100% remote.

Schedule: This role requires the ability to work regular business hours and on early mornings, evenings and weekends, as needed.

Compensation: The salary range for this position is $65,000 - $78,000/year.
