Overview

Collective Power for Reproductive Justice (collectivepowerrj.org) is a national reproductive rights and justice organization dedicated to educating, mentoring, and inspiring new generations of advocates, leaders, and supporters. Combining activism, organizing, leadership training, and reproductive rights movement building, Collective Power promotes an inclusive agenda that advances reproductive rights and health, and social and economic justice. Collective Power is a fiscally sponsored project of TSNE (tsne.org).

 

Responsibilities

The Operations Manager (OM) ensures that Collective Power for Reproductive Justice’s operational activities are effective, comprehensive, and reflect CPRJ’s mission and values. The OM oversees all administrative, information technology, and event logistics and operations under the direction of the Deputy Director of Systems and Sustainability (DD-SS). Working across teams, the OM is the key staff person responsible for maintaining and innovating our hybrid office environment, and oversees office systems, IT, and the creation and dissemination of internal office procedures. With the DD-SS, they support organizational culture and staff communication. The OM oversees all event management, working with both program and fundraising staff to plan and produce conferences, meetings, and other convenings, including managing event logistics, registration, safety and accessibility, vendors, and other needs. The OM supervises a full-time Operations Assistant.

 

Essential Functions

Staff and Hybrid Office Operations – 40%

  • Maintains, optimizes, and communicates internal office procedures around administration, technology, purchasing, student employees, and other relevant updates for staff; provides training and development on administrative and IT systems; serves as a liaison between staff and bookkeeper/finance staff, ensuring that staff are trained in how to code expenses and other accounts payable procedures;
  • Oversees intra-office scheduling and community building, including team-building activities and staff/student gatherings, holiday parties, and celebrations; manages Outlook calendars for office-wide events, including staff anniversaries and birthdays, staff meetings, and retreats;
  • Manages orientation of new staff to CPRJ systems and culture, including training in office systems and technologies, remote office set up, and organizational culture.
  • Lead facilitator and organizer for weekly staff meetings:
    • Builds staff meeting agendas with input from all staff;
    • Works with management team and staff to determine all-staff training and discussion needs;
    • Creates a meeting space that reflects CPRJ culture and values.
  • Assesses and maintains office space, physical storage and CPRJ archival materials, equipment, and office layout; acts as key contact for space rental and facilities;
  • Oversees student worker program, including managing hiring and work study contract, payroll, orientation and supervisor training, scheduling, exit interviews, and overall student worker budget management;
  • Maintains past and present contracts, financial files, and records;
  • Manages technology, administrative, staff travel & retreats, and work study budget lines;

Event and Project Management 30%

  • In collaboration with program and fundraising staff, manages event logistics for internal and external events, including project management and documentation, vendor contracts, and participant registration. Supervises the OA in vendor correspondence, meeting space booking, travel, and catering arrangements;
  • Manages on-site events:
    • Participant registration;
    • Location arrangements, including supervision of event setups;
  • Serves as the key manager of all participant access and safety needs, including translation and ASL interpretation as needed, other physical access needs, and event safety and security.
  • Creates and manages registration systems working closely with CPRJ’s Data Systems Manager to ensure participant data is captured and any payments collected as applicable;
  • Hires, manages, and trains casual event staffing;
  • Manages conference exhibitor program and acts as the primary point of contact for event exhibitors through managing outreach to event vendors and of exhibitor tables. Tracks and deposits registration fees, program sponsorship and participation contributions, earned income, and exhibitor fees; Prepares vendor payments and participant reimbursements;
  • Manage e-commerce site and supports other program income and initiatives

 

Software and Equipment Support – 20%

  • Oversees all office technology, including computers, phone, email, calendar, document storage, network/server access, videoconferencing/instant messaging, program/internal software platforms, and internet-based applications;
  • Oversees all internal communication, project management, and other technical systems to facilitate efficient coordination of work; researches and implements new systems; maintains and improves current systems;
  • Manages technology vendors including MSP; project management software, and other non-database and website vendors; acts as a liaison between vendors and staff;
  • Trains CPRJ staff on the use of the above technical systems and their functionality; troubleshoots with staff as needed and connects them to vendors when applicable;

Other – 10%

  • Other duties as assigned by the DD-SS.

Qualifications

We will consider exceptional candidates who demonstrate a strong combination of the specific qualifications and skills described below.

 

  • At least 5 years of related experience;
  • Alignment with mission and values;
  • Demonstrated ability to interact effectively and work successfully with persons of diverse backgrounds, including people with different racial, ethnic and class backgrounds, people of different genders, and people with disabilities;
  • Detail-oriented; able to handle high volume of work; effectively prioritize, multi-task and problem-solve; pay attention to deadlines and details; have good organizational skills; communicate clearly and confidently; must demonstrate flexibility and work well under pressure;
  • Strong project management skills and demonstrated ability to supervise and delegate work;
  • Experience supporting remote/hybrid teams and experience with Microsoft programs (especially Word, Excel, and Teams), Google workspace, Slack, and project management software.
  • Experience with meeting facilitation and/or training, especially in a remote environment.

Compensation and Benefits

 

Location: Work will be performed fully remote from anywhere in the United States, with some travel (at least quarterly) required

Compensation: The starting salary for this position is 65,000-$75,000 and is commensurate with experience.

Benefits: This position is eligible for a full benefits package including: Collective Power for Reproductive Justice operates on a 32 hour a week work week.
