Responsibilities

The LINK Facilities Coordinator is responsible for supporting all operations and programming for the Link at Kendall Square. This position supports efforts to ensure a well maintained facility, operating to its maximum efficiency and is also responsible for responding to all conference space reservations requests received by TSNE.

 

Access Control

  • Provides excellent service by greeting guests and tenants entering the facility;
  • Ensures guests sign in before proceeding into the space and informs tenants of the arrival of guests;
  • Maintains guest lists for larger trainings and events held in the conference spaces;
  • Controls vendor access;
  • Provides tours of the space for prospective clients as scheduled.

Special Events

  • Primary contact for any events hosted at the Link, including scheduling and contracting;
  • Works with tenant organizations to ensure their classes and programming runs smoothly;
  • Manages logistics for events within the space including room set-up and AV systems;
  • Promotes events, if needed;
  • Ensures sufficient staffing for events within the space;
  • Identify the client requirements and expectations for each event;
  • Liaise with vendors during the event planning process to ensure everything is in order;
  • Coordinate with accounting team on invoicing and payments.

Administrative Support

  • Works closely with the Property Manager and Assistant Property Manager on administrative and reporting tasks as assigned;
  • Tracks and reports metrics such as usage, income figures, budget. etc.;
  • Manages scheduling of staff to ensure adequate coverage at all times;
  • Prepares reports for the Property Manager as necessary.

Property Management

  • Ensures that all equipment within the common areas and meeting rooms are in good working order;
  • Communicates any Property Management needs to the Boston Properties Management team;
  • Contacts vendors for service for our provided in-house technologies;
  • Proactively pursues any possible improvements to the operations of the space;
  • Maintains contracts for in-house goods and services, etc.

Complete other tasks and projects related to the job, as needed.

 

Qualifications

We will consider exceptional candidates who demonstrate a strong combination of the specific qualifications and skills described below.

  • Two years of related experience including property management and program and events management;
  • Excellent analytical skill; Ability to apply principles, concepts, and practices concerning property facilities, utility systems, buildings, equipment and grounds;
  • Able to assist proactively in identifying deficiencies, determining solutions and making recommendations for improvement;
  • Excellent interpersonal, verbal, and written communication skills;
  • Able to work independently with minimal supervision; Able to prioritize requests;
  • Results-oriented with a positive outlook, and a clear focus on providing high quality customer service while interacting with building tenants and visitors to the Center.
