Overview

Ada Developers Academy is embarking on an exciting journey to become an independent 501(c)(3) and is seeking an experienced finance professional to build and run the newly formed finance function. Ada’s annual budget is expected to be $6M in the next fiscal year with a staff of twenty. The Finance Manager will work closely with the Director of Operations to create a fully operational finance function by January 2021 and then support the function on an ongoing basis. This role has dual focus on both the big picture and implementation details, requiring the ability to think strategically in addition to keeping the lights on and the staff paid. This is a unique opportunity for a service-oriented individual who is excited to build and manage a finance function from the ground up.

 

Ada Developers Academy (ADA) (www.adadevelopersacademy.org), located in downtown Seattle, provides an intensive software developer training program for women and gender non-binary students with little or no prior software development experience. In one year, students are taught programming techniques and best practices to enable them to become junior developers. The program consists of two distinct parts - six months in the Ada classroom, and five months of internship at local sponsor companies where students refine their skills working on real-world code.

Responsibilities

Financial Management – 55%

  • Manages bank accounts, cash balances, and regular cash flow to ensure financial stability;
  • Manages receivables activities from our company partners, such as sending invoices, follow-up inquiries, collecting past due accounts, and managing general ledger functions;
  • Ensures timely payments of vendor invoices and maintains accurate records;
  • Develops and owns the monthly close process, recording activity and reconciling all accounts;
  • Support the Development team by ensuring grants and donations are accurately recorded;
  • Supports the creation of budgets and other financial materials for grant applications;
  • Completes monthly state and local sales tax reporting and submits for payment;
  • Support Leadership Team in annual budgeting;
  • Recommends benchmarks for measuring the financial and operating performance;
  • Builds core financial systems and processes; Works to continuously improve accounting, reporting, cash management, and financial planning systems, processes, and policies.

Financial Reporting (30%)

  • Prepare monthly, quarterly, and annual financial and management reports for the Leadership team, Board, and other constituents;
  • Prepare documents for the annual audit and Form 990; Work in collaboration with external audit and consulting resources as needed;
  • Monitor and analyze operating results against budget;
  • Manage and report on all finance functions, e.g. accounts payable/receivable, taxes.

Benefits and Payroll Administration (10%)

  • Manage and process all payroll functions for the organization;
  • Ensure accurate collection and maintenance of contracts and records, e.g. employment agreements, W-9s, 1099s, and W-2s;
  • Support benefits selection process.

Team Responsibilities (5%)

  • Own and support broader organizational and team priorities, including:
    • Complete special projects as needed or requested;
    • Support colleagues on the Ada team as needed.

Qualifications

We will consider exceptional candidates who demonstrate a strong combination of the specific qualifications and skills described below.

  • Bachelor’s degree in Accounting/Business;
  • 3+ years of relevant work experience in finance and accounting;
  • Strong communication skills with exceptional attention to detail and organizational skills;
  • Demonstrated ability to adapt to change;
  • Strong analytical skills and fluency working with Excel, QuickBooks Online, payroll and expense applications;
  • Innate sense of ownership; identifying problems and opportunities and taking initiative;
  • Demonstrated success working independently with limited direction;
  • Enthusiastic support of Ada’s mission.

Preferred Experience

  • Nonprofit finance and/or accounting experience;
  • CPA preferred, familiarity with GAAP;
  • Building budgets and forecasts; preparation of financial statements;
  • Experience starting up and building stable and effective financial systems, processes and tools that can scale as the business grows;
  • Supporting annual audit process, preparation of Form 990;
  • Familiarity with human resources issues in a small team, including benefits, payroll and compliance requirements.
