  • Overview

    Massachusetts Organziation for Addiction Recovery (MOAR) (www.moar-recovery.org) seeks to continue to build a recovery informed society where recovery becomes a societal "norm" and prevention a societal "given". MOAR envisions a society where addiction is treated as a significant public health issue and recovery is recognized as valuable to all our communities. Our mission is to organize recovering individuals, families, and friends into a collective voice to educate the public about the value of recovery from alcohol and other addictions. MOAR is a fiscally sponsored project of TSNE (www.tsne.org).

    Responsibilities

    The Administrative Assistant will provide programmatic support on peer recovery support initiatives and general administrative and operational support to the organization. 

     

    Programmatic Support

    • Manage assigned projects to build the capacity of organizations providing peer recovery support services. Projects will include activities such as conducting research, developing resources, surveys and other data collection, and social media development;
    • Assist with creating project plans and timelines;
    • Conduct research through online and other sources;
    • Develop resources including e-library, templates and recordings;
    • Assist in developing data collection tools (surveys, etc.);
    • Support social media function including planning and regular posting;
    • Assist with planning and documentation of work activities;
    • Provide meeting support such as coordinating logistics, email invitations, document creation and editing, note-taking and follow-up tasks.

     Administrative and Operational Support

    • Perform general secretarial and clerical functions;
    • Answer telephone calls efficiently and route to respective staff;
    • Check voice messages and forward to respective staff;
    • Maintain filing system;
    • Develop staff meeting minutes;
    • Inventory office supplies;
    • Email and fax information/documents in an accurate and timely manner;
    • Execute routine and bulk mail projects;
    • Maintain staff directory;
    • Ship resources when necessary; 
    • Manage mailing lists; 
    • Prepare monthly board meeting documents; 
    • Contact members, volunteers and others to invite to meetings and events; 
    • Participate in public events; 
    • Provide administrative support to Executive Director and Operations Manager; 
    • Reconcile and submit monthly expenses and reimbursements via Concur for specific staff and Executive Director; Record and deliver donations and membership dues to TSNE; 
    • Send “Thank you” letters to donors; 
    • Submit vendor invoice check requests and monitor approval status via Concur; 
    • Submit BSAS quarterly report answers to Operations Manager; 
    • Assist in the management of volunteers and Interns.

    ATR & Optum Billing

    • Accept referrals through ATR and Optum software or e-mail and forward to ED; 
    • Work with Recovery Coach Supervisor and Coaches to ensure vouchers are current; 
    • Ensure voucher renewals are submitted as needed; 
    • Complete weekly ATR and Optum billing; 
    • Submit a weekly ATR and Optum report (Excel spreadsheet); 
    • Organize and maintain ATR and Optum file cabinet.

    The salary range for this position is between $35,000 - $45,000; and a generous benefits package will also be provided.

    Qualifications

    We will consider exceptional candidates who demonstrate a strong combination of the specific qualifications and skills described below.

    • College degree preferred and at least 1 year of work experience; 
    • Demonstrated computer skills in Microsoft Word, Excel, Publisher, and Access PowerPoint;
    • Experience with social media and website platforms;
    • Some familiarity with Survey Monkey, Constant Contact or other email communications software;
    • Able to learn new computer programs with minimal direction;
    • Effective oral and written communication and interpersonal skills;
    • Can manage and organize projects effectively;
    • Has ability to work independently, adapt to change, and handle multiple tasks/assignments simultaneously;

    Additional Qualifications

    • The Administrative Assistant will primarily work onsite at the MOAR office and attend occassional meetings across the state, which may include some evenings and weekends;
    • If in personal recovery, a minimum of one year continuous abstinence required; pass C.O.R.I.

    • Environmental and work hazards are not present to a measurable degree.
