    Responsibilities

    In partnership with the Cambridge Redevelopment Authority and Boston Properties, we will be launching a nonprofit space in the heart of Kendall Square. The mission of this space is to create a thriving workforce development ecosystem to bridge the gap between the available workforce in Cambridge and the jobs in Kendall’s fast growing biotech and technology industries. This will be a co-working space for such nonprofits who are unable to pay market prices and will also have several meeting and classroom facilities that will be used by both tenants as well as external clients.

     

    The Facility Associate is responsible for supporting operations and programming for the Opportunity Space, working collaboratively with the Property Manager, Assistant Property Manager and Facility Coordinator to this end.  As the face of the Opportunity Space, the Associate staffs the lobby reception desk and greets visitors serving as an initial point of contact and information. The Associate will also be responsible for supporting the real-time logistics of any events or classes that are hosted on site. The Associate supports efforts to ensure a safe and well-maintained facility operating to its maximum efficiency and the highest standards of customer service. The Associate will also work to ensure all events hosted in the space run smoothly. This position is a part-time position at 20 hours per week. The hours are Monday through Friday 3:00 PM - 7:00 PM.

    Access Control

    • Provides excellent service in greeting guests and tenants entering the facility;
    • Ensures guests sign in before proceeding in to the space; Inform tenants that they have a visitor;
    • Maintains guest lists for larger trainings and events held in the conference spaces;
    • Controls vendor access;
    • Provides tours of the space for prospective clients as scheduled. 

    Events

    • Secondary contact for any events hosted in the space, including scheduling and contracting;
    • Works with tenant organizations to ensure their classes and programming run smoothly;
    • Handles logistics for events within the space including room set-up and AV systems;
    • Promotes events, as necessary.

    Maintenance of Space

    • Ensures that all equipment within the common areas and meeting rooms are in good working order;
    • Communicates any Property Management needs to the Boston Properties Management team;
    • Communicates to Coordinator any issues with in-house technology;
    • Any possible improvements to the operations of the space.

    Qualifications

    We will consider exceptional candidates who demonstrate a strong combination of the specific qualifications and skills described below.

    • Prior experience in an office setting including the ability to multi-task;
    • Excellent customer service experience and the ability to interact professionally with tenants and visitors to the space;
    • Excellent written and verbal communication skills;
    • A proactive attitude and approach;
    • Adaptable with a commitment to contributing to the team effort;
    • Experience with Microsoft Office Suite, particularly Word and Excel;
    • Experience or willingness to learn AV systems;
    • Experience with work order systems or ticket racking systems preferred;
    • Excellent record of punctuality;
    • This position requires sitting for long periods of time.
