    In partnership with the Cambridge Redevelopment Authority and Boston Properties, we will be launching a nonprofit space in the heart of Kendall Square. The mission of this space is to create a thriving workforce development ecosystem to bridge the gap between the available workforce in Cambridge and the jobs in Kendall’s fast growing biotech and technology industries. This will be a co-working space for such nonprofits who are unable to pay market prices and will also have several meeting and classroom facilities that will be used by both tenants as well as external clients.


    The Facility Coordinator is responsible for supporting operations and programming for the Opportunity Space, working collaboratively with the Property Manager and Assistant Property Manager to this end. As the face of the Opportunity Space, the Coordinator staffs the lobby reception desk and greets visitors serving as the initial point of contact and information. The Coordinator will also be responsible for overseeing the logistics of any events or classes that are hosted onsite. The Coordinator supports efforts to ensure a safe, sound and well-maintained facility operating to its maximum efficiency. The Coordinator will also work to ensure that all events hosted in the space run smoothly.

    Essential Job Functions


    Access Control

    • Provides excellent service in greeting guests and tenants entering the facility;
    • Ensures guests sign in before proceeding in to the space; Inform tenants as appropriate;
    • Maintains guest lists for larger trainings and events held in the conference spaces;
    • Controls vendor access;
    • Provides tours of the space for prospective clients as scheduled;


    • Primary contact for any events hosted in the space, including scheduling and contracting;
    • Works with tenant organizations to ensure their classes and programming run smoothly;
    • Manages logistics for events within the space including room set-up and AV systems;
    • Promotes events, if needed;
    • Ensures sufficient staffing for events within the space; 

    Administrative Support

    • Works closely with the Property Manager and Assistant Property Manager on administrative and reporting tasks as assigned;
    • Tracks and reports metrics such as usage, income figures, budget etc.;
    • Manages scheduling of staff to ensure adequate coverage at all times;
    • Prepares reports for the Landlord as necessary;

    Maintenance of Space

    • Ensures that all equipment within the common areas and meeting rooms are in good working order;
    • Communicates any Property Management needs to the Boston Properties Management team;
    • Contacts vendors for our provided in-house technologies;
    • Proactively pursues any possible improvements to the operations of the space;
    • Maintains contracts for in-house goods and services, etc.



    We will consider exceptional candidates who demonstrate a strong combination of the specific qualifications and skills described below. 

    • Prior experience in an office setting including the ability to multi-task;
    • Excellent customer service skills and the ability to interact professionally with tenants and visitors to the space;
    • Prior supervisory experience strongly preferred;
    • Excellent written and verbal communication skills;
    • A proactive attitude and approach;
    • Adaptable with a commitment to contributing to the team effort;
    • Knowledge of Microsoft Office Suite, particularly Word and Excel;
    • Experience or willingness to learn AV systems;
    • Excellent record of punctuality;
    • Experience with work order systems and ticket tracking systems preferred,
    • This position requires sitting for long periods of time;
