    Tools of the Mind, a fiscally sponsored project of TSNE MissionWorks is a research-based early childhood program that embeds development of executive functions and self-regulation into the design of all teaching and learning, leveraging make-believe play and a classroom culture of co-regulation & peer scaffolding to build the foundational skills children need to be successful in school and life.


    Mission: To help all children learn and develop to their full potential by applying developmental theory-based principles of learning to early childhood education.


    Vision: Our vision is to empower teachers with the understandings and tools they need to create positive classroom cultures, facilitate intentional, playful learning and support the development of self-regulated learners who achieve to their full potentials – closing the achievement gap for low income, minority and DLL students.


    Responsible for our partner’s (clients) experience with Tools of the Mind, the Partnership Development Administrator (Administrator) will have excellent communication skills, a passion for organization and a penchant for detailed record keeping. This role personally interacts with our our partner programs’ administrators, coaches and teachers, members of the Tools team, and our vendors to orchestrate and support strong positive professional development experiences for all involved. The Administrator coordinates the entire experience––from helping to schedule our workshops and putting together client portfolios for our team, to working with clients and venues to set up contracts and sales agreements, to ordering promotional items, training manuals and print assets for workshops. The Administrator will ensure that team members delivering our trainings know the details they need to know to be successful, without even having to ask, and that each of our clients has a personal contact in Tools that is highly responsive to and anticipatory of their inquiries and needs.


    • Communicates with clients and prospective clients by phone and email, sharing enthusiasm about and knowledge of our program while being both proactive and responsive to client and prospective client needs and interests;
    • Works closely with the Director of Partnership Development in coordinating contracts and sales agreements, responding to inquiries, setting up venues, ordering needed materials and managing the distribution and tracking of sample kits to prospective partners, etc.;
    • Maintains an accurate and up to date Salesforce database with client history to help us better serve our partners and manages client registration for workshops and record keeping for the organization;
    • Manages team schedules and keeps schedules and portfolios up to date using scheduling software and Google applications;
    • Creates and maintains systems for effectively communicating with our partner programs including using Constant Contact to generate and customize regularly scheduled workshop reminders, disseminate workshop evaluations and other timely newsletters and communications, monitoring open rates and failed deliveries to update participant contact information to and ensure all clients are receiving needed information;
    • Manages new client launches in collaboration with the Program Coordinator – ensuring that clients have timely access to our eLearning modules, password protected areas of our website, and iScaffold application in coordination with the Program Coordinator;
    • Supports strategic outreach and growth by creating spreadsheets with information about prospective partners in targeted regions and by disseminating Tools information in personalized ways; follows policies and funding trends in target regions to inform the Director of Partnership Development to support outreach and strategy;
    • Generates reports for the Tools Senior Leadership Team, synthesizing data from client surveys, Salesforce and Google analytics and presents it in user-friendly, visual ways that support decision-making;
    • Troubleshoots client and Tools team needs; serves as a liaison between team members delivering services to clients, venues and contractors etc.;
    • Contributes to our marketing and services to clients through supporting our social media campaigns, adding and editing text and assets on our website;
    • Complies with all deadlines;
    • Abides by travel and personnel policies;
    • Performs other duties as assigned.


    We will consider exceptional candidates who demonstrate a strong combination of the specific qualifications and skills described below.


    • A Bachelor’s degree in Business Administration, Humanities, Education or related field is highly desired;
    • Proficiency with online communications applications (e.g., Google Docs, Google Calendar), virtual meeting software like Zoom, Constant Contact, computer-based survey systems, software programs (e.g. Microsoft Office, Pages, PowerPoint, Keynote, Constant Contact) is required;
    • Experience using and working knowledge of Salesforce is strongly preferred;
    • A self-starter with a strong work ethic able to manage working in virtual company and work from a home office with high degree of professionalism and efficiency;
    • A strong customer orientation and communication skills––communicates in ways that build relationships and signals mutual regard; able to engage in effective, personal communications with range of stakeholders; genuinely enjoys talking with people and has a good sense of humor;
    • Likes solving problems, troubleshooting and resolving issues and is successful in doing so;
    • A strong commitment to teamwork including building relationships within our internal team while working closely with the Director of Partnership Development, Program Coordinator, General Manager and other team members in flexible, responsive ways;
    • A commitment to continuous improvement––invested in reflecting on what’s working well and what could be working better along with generating potential solutions and contributing to our ongoing improvement;
    • Good at multitasking and work that has different workflows at different times––Enjoys coordinating a range of critical components to ensure our success. Each day may be a little different with new tasks related to new prospective clients;
    • Able to manage familiar cyclical tasks related to workshop delivery and new partnership launches with an annual period of time with a lower demand around managing our workshops that will afford opportunities to innovate solutions to improve our efforts, upgrade and maintain our databases and refine and update assets for our outreach to prospective clients;
    • An eye for detail – able to catch and correct errors; passionate about getting things right; A commitment to reviewing things to ensure that everything is correct;
    • Evidence of being quick agile learner and a self-starter in mastering new technology;
    • A proficiency in WordPress and ability to add and edit events and assets on our website is preferred;
    • A proficiency in and interest in social media posting on Instagram, Facebook and Twitter is preferred;
    • Experience managing and setting up contracts and working with scheduling software is preferred;
    • Interest in early childhood education and a deep regard for educators is required;
    • Knowledge of Tools of the Mind and Vygotskian theory is preferred;
    • Fluency in Spanish is preferred.


    Special Requirements


    • Maintaining a home office with a personal Macintosh computer is required;
    • Must live on the East Coast U.S. is required - within a 2-hour drive of Boston, MA is preferred;
    • Ability to travel regionally for periodic in-person meetings is preferred;
    • Ability to lift and move up to 30 pounds in order to receive and ship sample kits and training materials;
    • Ability to work flexible hours to accommodate occasional early and late meetings, while coordinating with virtual team members working in different time zones in order to meet deadlines.
